This policy explains what personal information Bishop Arts Hotel collects through this website, why we collect it, who we share it with, and the choices you have. It covers this site only — it does not cover the separate booking engine or the Chatelet Dallas venue site, each of which publishes its own policy.
If anything here is unclear, please ask. We would rather answer a question than leave you guessing.
Information we collect
We collect only what we need to answer your enquiry and manage your stay. When you submit the contact form or subscribe to our newsletter, we collect the details you type into it.
- Contact details you provide — your name, email address and phone number.
- The content of your enquiry — the subject and message you write to us.
- Marketing attribution — campaign parameters (utm_source, utm_medium, utm_campaign, utm_term, utm_content) and click identifiers (gclid, fbclid) present in the link you arrived through, so we can tell which channel referred you.
- Technical information your browser sends automatically, such as your IP address and user-agent string, retained in our hosting provider's request logs.
How we use your information
We use the information above for a small, defined set of purposes.
- To respond to your enquiry and follow up about a reservation, group block or event.
- To send the confirmation email acknowledging that we received your message.
- To send seasonal rates, neighborhood guides and direct-booking offers, but only if you subscribed to the newsletter.
- To understand which marketing channels bring guests to the site, in aggregate.
- To keep the site secure, diagnose faults and prevent automated abuse of our forms.
Where your information goes
We do not sell your personal information, and we do not share it with advertisers or data brokers. We do rely on a small number of service providers to operate the site, and your information passes through them:
- Resend — delivers our transactional email (your confirmation and our internal notification).
- Google (Apps Script and Google Sheets) — stores enquiry records in the private sheet our reservations team works from.
- Slack — receives a copy of each new enquiry notification in a private internal channel.
- Our hosting provider — serves this website and keeps short-lived request logs.
- We may also disclose information where the law requires it, or to protect our legal rights.
How long we keep it
Enquiry records are kept for as long as we need them to serve you and to keep an accurate business record — normally no more than 24 months after our last contact, unless a longer period is required for tax, accounting or legal reasons. Newsletter subscriptions are kept until you unsubscribe.
Your choices and rights
You are always in control of the information you gave us. Depending on where you live, you may have the right to request a copy of it, to correct it, to have it deleted, or to object to how we use it.
- To unsubscribe from marketing email, use the unsubscribe link in any message we send, or email us.
- To request access, correction or deletion, email us and we will respond within the period the applicable law allows.
- Texas residents and residents of jurisdictions with comparable laws may exercise the rights those laws grant without being charged or receiving a lesser standard of service.
Security
The site is served over HTTPS, form submissions are validated on the server, and the endpoint that writes enquiries to our sheet is protected by a shared secret. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security — but we do limit access to enquiry data to the staff who need it.
Children's privacy
This website is intended for adults booking accommodation. We do not knowingly collect personal information from children under 13. If you believe a child has given us their information, contact us and we will delete it.
Changes to this policy
We may update this policy as our practices or the law change. The revision date at the top of this page always reflects the current version. Material changes will be announced on this page before they take effect.
